Selectmen Meeting Minutes — June 2, 2009—3:00 p.m. — Memorial Hall.

Call to order: a motion was made by Chairman Manners to call the meeting to order at 3:00 p.m. Other members present: John Payne. Joe Judd was unable to attend.

3:00 p.m. Treasurer Interviews (continued) – two more candidates were interviewed this afternoon for the Treasurer’s position. To date, six candidates have been interviewed; two of which were called back for a second round of questions. Following the interviews, the Board briefly discussed the qualities of each of the candidates. John will provide a complete overview of the process next week when the full Board is present with the hopes that a decision can be made.

Other Business:
Town Office Assistant FY’09 Unused Vacation Entitlement - the Town Office Assistant position will cease to exist effective July 1st. The individual who currently holds the position is the last of the three long-term employees who had to work a full-year before receiving any vacation benefits therefore she is entitled to receive compensation for any unused “earned” vacation time. Following a brief discussion, a motion was made by John to compensate the employee for up to 55 hours of unused vacation time at a rate of $14.77 per hour for a total of $812.35. To facilitate this payment, available funds will be transferred at the end of the fiscal year in accordance with M.G.L. Chapter 44, section 33B. Bob seconded the motion. Motion carried.

Hawthorne Valley School RE: Request to Access Glacial Potholes – the Hawthorne Valley School from Ghent, NY is requesting permission to access the glacial potholes on Wednesday, June 3, 2009 at 10:30 a.m. so to allow approximately 15 students and three adults to study the geological formations. The request was accompanied by a certificate of liability insurance as well as a signed copy of the town’s “Hold Harmless” agreement. A motion was made by John to approve the school’s request providing that the weather conditions and water flow are conducive for a safe visit. Motion seconded by Bob. Motion carried.

Polly Bartlett RE: Request for Additional Trash Collection for RiverFest
– Polly is requesting that the town empty the trash receptacles on Bridge Street in advance of the June 13th RiverFest event as done in past years. John made a motion to approve the request. Bob seconded the motion. Bob will speak to the Highway Superintendent and ask that the crew empty the barrels on Friday, June 12th. Motion carried.

Open Space Committee
– John reported that the Open Space Committee has been developing guidelines for Chapter 61, Right of First Refusal transactions. Larry Flaccus is scheduled to appear before the Selectmen next week to discuss further. The Open Space Committee is also looking at potential grant funding opportunities so to develop a “Trail” brochure.
